Office Coordinator / Office Manager A progressive and award-winning architectural studio in Dublin city, have an exciting opportunity for an Office Coordinator to join the growing team. They are synonymous with high level design, and offer a great working environment to support creativity and collaboration across their projects, teams and offices. In order to support the growing team, they are seeking to appoint an experienced Office Coordinator to manage activities across the office. This is a varied role, which encompasses all areas across the office including administration, bid / tender coordination, events and facilities, compliance, to ensure the smooth running of the busy architectural studio. The ideal Office Coordinator will be self-motivated, personable, adaptable with excellent communication and organisational skills who has proven success managing the smooth operations within a professional office environment. Strong IT skills are required, and proficiency in InDesign is advantageous.
- Previous experience in a busy office environment with full eligibility to work in Ireland is essential
- Key areas of responsibility Act as the main point of contact for the growing Dublin office and coordinate the day-to-day running and smooth operations Provide support to the Bid Coordinator in preparing tenders, e-tenders notifications and correspondence, and completing forms / templates for submissions Maintain switchboard and direct calls Provide PA support to the team and assist in the setting up meetings, presentations and project tendering, travel arrangements etc. General office administration managing phones, post, deliveries, diaries, coordinate meeting rooms, stationery, refreshments, IT support, social club etc Ensure compliance and standards are met with health & safety, risk assessments, first aid and fire marshal training; accident and incident reporting. Keep ISO documents up to date Manage events held in the studio and externally Maintain office filing, project documentation system, on boarding new staff Premises / facilities coordination - be a key point of contact for office building and facilities - and ensure a timely resolution when liaising with external contractors Salary & Benefits : €40k-€55k depending on experience Pension CPD Many more If you are an experienced Office Coordinator, Office Manager with excellent interpersonal skills keen to join an award winning design studio, please forward your cv to Deborah for further details.
