Job Description and Duties Reports to : Chairman and Board of Directors Responsible for : The day-to-day Secretarial duties, in office administration, Office IT skills, and competence in the financial control using up to date IT systems. Location : NARGC Office, Mountmellick, Co Laois. This office may move to another location in the midlands area of Counties Westmeath, Offaly, Laois, Kildare, Meath. Salary : Salary negotiable for suitable candidate Job Description and Qualifications As Secretary you will play a vital role in developing good internal IT systems including implementing good financial governance and controls, to include supporting the NARGC to grow and successfully deliver on its objectives. You would need to have worked as the lead Secretary in a busy office scenario where you have shown an ability to multitask, organise good office procedures, and deal competently with issues as they arise. At least three years experience centrally involved in running a modern office. Transport & Driving Licence The candidate must have their own transport, a full driving licence and their vehicle must be insured for business use in addition to their domestic use. The Job The Secretary shall operate under the direction of the NARGC Chairperson, and report to, the Board of directors of the National Association of Regional Game Councils (NARGC). The post is full time, with the standard entitlements. The ideal candidate shall have : Proven experience in Secretarial or administrative roles. Strong communication, social media and interpersonal skills. Proficient and experienced in using modern office management IT technologies. A track record in working in environments where organisational and multitasking qualities are required, on your own or as a team. A good track record in producing and reviewing management accounts, with particular focus on accuracy and attention to detail. A knowledge and awareness of health & safety legislation and regulations, their implications for the organisation and the employee, and their application. Main Duties : The Secretarial duties will include but not be limited to the following : Direct reporting to the Chairman, and NARGC board. Manage front desk operations including answering calls, greeting visitors / customers and handling correspondence. Supporting NARGC Officers, and other staff members to organise and efficiently fulfil their roles. Working with Project Officers in fulfilling their responsibilities Managing the office efficiently, ensuring that all matters requiring attention are done and done on time. Working with our Treasurer and accountants to prepare monthly payroll returns and annual management accounts, Processing creditor invoices and payments, Reconciling the bank account on a monthly basis, Organise and deliver training and promotional events. Maintain accurate records of all training including Health & Safety training. Process expense claims for NARGC members, and others as required. Hours of Work Location of work Full time employment, 39 hours per week, with standard benefits. The working schedule will be Monday to Friday 9am 5pm in the NARGC office in the midlands area. There may be room for some mutually agreed flexibility around the working location. The NARGC may occasionally require you to work outside the above schedule and at other locations. Probation The following probationary provisions shall apply : (a) there shall be a period after such appointments take effect during which such persons shall hold the position on probation. (b) such period shall be six (6) months, but the board can, at its discretion, extend such period; such persons shall cease to hold the position at the end of such period of probation unless during such period, the board is satisfied with their performance.
