Job Description The Venue and Events Coordinator is responsible for supporting the smooth operation of events and venue activities, ensuring high-quality service and exceptional customer experience. This role involves event planning, coordination of venue logistics, liaising with clients, and assisting with on-site operations to ensure seamless event execution. The position includes administrative duties, supplier coordination, and supporting site operations as needed. Main Duties and Responsibilities Assist in planning and delivering events, ensuring they run efficiently and meet client expectations. Coordinate event logistics, including room setup, catering, and security requirements. Liaise with clients to understand event needs and provide guidance on available services. Ensure compliance with health and safety regulations and venue policies. Support venue marketing efforts, including event promotion and assisting in creating marketing materials. Communicate with suppliers and service providers to ensure timely delivery of goods and services. Oversee the presentation of venue facilities, ensuring cleanliness and readiness for events. Maintain up-to-date event and venue documentation, ensuring scheduling and client records accuracy. Monitor and track budgets, assisting with invoicing and financial reporting for venue-related activities. Conduct regular venue inspections to ensure compliance with service standards. Provide excellent customer service to guests, responding to inquiries and resolving issues efficiently. Assist with operational duties related to catering, cleaning, and front-of-house support when required. Work closely with internal teams, including cleaning, security, and facilities personnel, to ensure smooth event execution. Maintain accurate reports of on-site activities, client interactions, and financials. Key Requirements Previous experience in event coordination, venue operations, or hospitality. Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously. Excellent communication and interpersonal skills to liaise with clients, vendors, and internal teams. Attention to detail and ability to work efficiently under pressure. Proficiency in Microsoft Office and other event management software is an advantage. Understanding of health and safety requirements in a venue environment. Customer-focused mindset with a proactive and adaptable approach to problem-solving. Ability to work flexible hours, including evenings and weekends, as required by event schedules.
