Job description

Our clients, are seeking an exceptionally organised HR & Recruitment Administrator to be the operational backbone of their talent and people functions. The chosen candidate will manage the full recruitment lifecycle while providing comprehensive HR administrative support across multi-country operations (Ireland, UK, US, Romania). This position offers the opportunity to work closely with their Recruiter (who focuses on sourcing and quality standards) while you ensure flawless execution of all recruitment and HR operations. Recruitment Operations Excellence : Manage the complete interview process for all candidates, ensuring every applicant has an exceptional experience regardless of outcome. Review CVs and conduct initial screening to identify candidates who align with their values and requirements. Coordinate complex interview schedules across multiple rounds, time zones, and stakeholders with precision. Build and maintain professional relationships with external recruiters, managing candidates from multiple sources. Optimise their ATS system and continuously improve hiring processes for efficiency and candidate experience. Track and manage their internal referral program, ensuring timely processing of submissions and bonus payments. Offer & Onboarding Coordination : Draft offer letters and coordinate the complete contract execution process from approval to signature Prepare comprehensive onboarding experiences for new joiners, scheduling call series and ensuring smooth integration Manage NDA processes and document collection with attention to compliance requirements Coordinate performance reviews at key milestones (week 1, month 1, 6-month, annual) HR Administration & Compliance : Maintain organised HR file management systems across multiple jurisdictions (IE, UK, US, RO) Prepare payroll setup files and manage pension and benefits registration Handle HR queries with professionalism and care, being the helpful first point of contact Support both contractor and employee administration across all locations Coordinate training courses, conferences, and professional development opportunities Employee Lifecycle Management : Create positive first impressions through seamless onboarding coordination Support career development through training and event administration Manage offboarding processes with care, conducting exit interviews and coordinating system access removal Partner with their Operations Specialist to ensure smooth transitions Organisational Excellence (Essential) Exceptional attention to detail - You catch the typos others miss and notice when something doesn't add up Systems thinking - Natural ability to create order from chaos and improve processes continuously Multi-tasking mastery - Proven ability to juggle multiple priorities without dropping any balls Time management - You meet deadlines consistently and help others do the same Communication & Relationship Skills Professional communication - Excellent written and verbal skills for engaging with candidates, employees, and stakeholders Empathy and care - Genuine interest in creating positive experiences for every person you interact with.
