The Temple Gate Hotel has a fantastic opportunity for a Meeting, Sales & Events Executive to join their exceptional and expanding team and oversee the daily operations of the meetings and events accounts in the hotel. You will be inspirational and passionate about the client experience from start to finish when they choose us to host their special occasion, family gathering or business meeting.

Reporting to the General Manager, the objective of the role is to increase revenue and maximise yield within the meetings and events segment of rooms, conferences, room hire and food & beverage. You will also work closely with other departments in promoting and marketing the hotel in order to maintain existing business, develop new business, ensure guest satisfaction is exceeded as well as maximization of the revenue. Close working collaboration with the management and Head Chef is key in this role.

DUTIES & RESPONSIBILITIES

  • To take ownership for the initial enquiry through to the very end including billing and follow up.
  • To liaise with organisers and business provider to ensure that each event / meeting runs smoothly to the guest's requirements and satisfaction.
  • To be available on the day of large conferences, VIP functions etc. when requested.
  • To prepare a concise, complete and accurate schedule / function sheet for each event and to update the function sheet on a daily basis.
  • To co-ordinate and co-chair, the weekly Function Sheet Meeting with the HOD's ensuring that the operational team are clearly briefed for the next 10 days events.
  • To communicate all pertinent details of forthcoming events to all relevant personnel within The Temple Gate Hotel.
  • Prepare and issue quotations and contracts in a timely manner and follow up on such.
  • To organise "show arounds or fam trips".
  • To ensure all rooms are set up as per the requirements of the function sheet, liaising closely with the Portage team.
  • Check C&B Billing on a daily basis and communicate discrepancies to Accounts Department.
  • Maintain and develop Events, C&B Database, develop a Customer Loyalty Programme.
  • To actively seek additional business with local companies, involve cold calling to perspective and upselling to current clients.
  • To create own Sales leads and calls.
  • To attend trade fairs and off-site Client Entertainment where necessary.
  • To provide administrative support, when required, on social media, customer feedback and other online platforms. Maintain necessary levels of all brochures and stationery within the Sales Office.
  • Closely monitor and follow up on Trip Advisor, Google reviews and other social media platforms for client feedback.
  • Be aware of competitor rates
  • Liaise with Reservations Department so you are aware of hotel room rates and availability at all times
  • To seek post event feedback from all clients and communicate weekly reports to relevant personnel.
  • To carry out any additional duties requested by the team which will support the departments and business goals.

Ideal Candidate

  • Minimum of 2 years in a similar role in the hospitality industry ideally in a 4
  • property
  • Have an in-depth understanding of the events department in a busy hotel.
  • Knowledge of Microsoft Office Suite.
  • Be proactive and forward thinking with excellent communication and organisational skills.
  • Well organised, outgoing & service minded
  • Ability to multitask & troubleshoot throughout the department
  • Excellent customer service skills
  • Well presented at all times
  • Strong interpersonal skills, articulate and confident communicator
  • Handles pressure calmly and professionally
  • Thrives on working in a fast-paced and energetic environment
  • Can do" attitude with an ability to multi task
  • Fluent English with excellent communication skills
  • Flexible and available to meet with clients and conduct show arounds in the evening when required.
