People Operations Coordinator

Key Support Tasks & Duties

Employee Lifecycle Communication & Administration

Manage and process all statutory leave applications

Processing invoices as relevant for any costs incurred by the HR dept.

Track key dates (e.g. probation completions, contract end dates, start dates) and prompt timely manager and employee communications.

Coordinate onboarding communications (e.g., welcome emails, start day logistics).

Support offboarding including resignation acknowledgments, final day communications, and exit pack coordination. Support the management of terminations including collating feedback as appropriate, benefits close out and record management and deletion as required.

Agency employees onboarding

Manage sick leave correspondence (letters) process

Statement of employment / References on request

Manage monthly reports such as Temp to Perm and Visa Reporting

PHX Cards as required

Manage Bike to work & Tax saver process

Generate Salesforce Metrics

Ad Hoc letters distribution

Ownership of ad Hoc voucher order and distribution to all business units

Manage Annual Service Vouchers order and distribution to all business units

Query Management & First-Line Support

Manage the shared People Operations inbox, ensuring all queries are acknowledged and responded to within agreed timelines via Salesforce

Triage employee and manager queries across topics like leave, policy guidance, probation, and employment status.

Escalate complex issues to relevant HRBPs or SMEs (e.g., ER, HRIS, compliance) where needed.

Documentation & Data Handling

Maintain accurate digital personnel files and naming conventions for audit-readiness.

Log and track contract changes, lifecycle events, and communications to ensure alignment with core HR systems and compliance.

Support HRIS data updates, change audits, and file uploads as required.

Letter Drafting

Draft and issue

Probation confirmation / extension letters

Return from leave letters (e.g. parental leave, career breaks)

Engagement & Culture Support

Maintain local event calendars and assist in scheduling town halls, recognition days, and employee welcome sessions along with comms and HR Projects

Support tracking and feedback collection on engagement activity participation and outcomes.

Administrative Support to HRBP Team

Schedule meetings, ER notetaking, and diary coordination as needed.

Running ER Investigations

Prepare template packs for performance management and probation meetings.

Coordinate calendar invites for onboarding, learning, and engagement sessions.

Policy & Process Awareness

Act as a point of contact for employees needing guidance on local HR policies and procedures (excluding complex ER or reward topics).

Help keep policy templates and lifecycle process documents up to date on shared drives or HRIS.

Experience

1+ years in HR

Third level Degree in a business or related study is an advantage.

Excellent Microsoft office and reporting skills.

This is a full-time role, within the HR function. This role is based in the Citywest office, primarily based in the office a minimum of 4 days per week, with working from home available one day a week.
