Building Receptionist / Building Manager Department Administration and Property Management Location Crown Square, Galway Reports to Property Management Team Job Specification Crown Square Management Company are seeking a Building Receptionist / Manager to join our property management department. This role is to assist in the management of a new commercial office property and the overall estate management of Crown Square. You will also be required to provide administrative support to our property management department. The role will suit a building receptionist or building manager with a minimum of 1 years’ experience in administration or commercial property management environment. Key Responsibilities Professionally welcoming guests, providing information, and directing them to the appropriate person or office. Liaising with office staff and managers in this mixed use development. Acting as first point of contact for visitors, clients, and staff. Scheduling appointments, coordinating meetings, and managing conference room bookings. Assisting with basic administrative tasks such as filing, data entry, and ordering supplies. Maintaining a professional reception area and managing postal deliveries. Assisting the Property Manager to manage the property to an agreed budget. Managing planned and reactive works by engaging contractors via our purchase order system. Working with senior team members to prepare budgets each year. Working with senior team members to review expenditure quarterly and at each year end. Liaising with Tenants on a regular basis regarding general operations within the properties managed. Regular on-site visits and documenting inspections of the properties managed. Implementing and managing Environmental, Social and Governance (ESG) initiatives. Uploading key data for properties managed to a selected ESG platform. Assisting with security for the building to ensure that only approved visitors are given access. Liaising with cleaners and maintenance staff to the building to ensure they have access to relevant areas etc. Managing access control, basement car park and other common areas of the building. Person Specification Effective communicator with strong interpersonal skills. Can-do attitude and team player Property or Facility Management qualification would be an additional benefit. Technical knowledge and / or Facilities Management experience. Excellent IT and Organisational Skills. Initiative. A capability for achieving targets and meeting deadlines. Organised task manager who can handle several regular deadlines.
