Administrative Assistant

BITCI is excited to invite candidates to apply for the position of Full-time Administrative Assistant  to provide administrative support to the Education Team.

The purpose of this role is to coordinate, deliver and maintain efficient and professional administration systems for the Education team in BITCI, with a specific focus on our post-primary programmes.

JOB SUMMARY

  • Permanent role, subject to a 6-month probationary period.
  • Role is based in our office in Phibsborough, Dublin 7 (this is a hybrid role, with in-office attendance expected 2-3 days per week)
  • Full-time role is 35 hours a week
  • Salary €28k-€33k per annum, depending on experience.
  • Providing administrative support to Head of Education, National Programme Leads and Regionals
  • This role requires experience in administrative tasks including minute-taking, diary management, organising meetings, taking phone calls and responding to email queries, maintaining and organising filing (digital and physical), regular communications, ordering office supplies, photocopying and printing and report formatting (having regard to our branding and templates).
  • This role ensures the  smooth functioning of the office environment and the most efficient operational flow of the work of the team. Communications needs include broadly to the team and also ensuring regular check ins with programme leads.
  • IT skills requires are a high level  of proficiency in the range of Microsoft Office programmes e.g., Word, Excel, PowerPoint, Outlook and digital design (including Canva or Adobe photoshop or similar). In addition, experience in CRM systems such as MS Dynamics or Salesforce is a distinct advantage.
  • Experience is required in event administration and survey management :   organising events and the production and distribution of surveys and data management of results.
  • This role is also responsible for leading and managing the delivery of our Industry Insights for Teachers programme, which is a programme that showcases companies and roles / career routes to educators across a series of webinars / seminars across the academic year.
  • Fluency in English , both written and verbal is required.

  • JOB DESCRIPTION

    The Administrative Assistant performs general clerical tasks, generally on behalf of the Education operational team. Day-to-day life as an administrative coordinator includes providing administrative support for educational programmes, taking phone calls and sending emails, managing events and mailings, managing the production of the Education Ezine, admin support on generating CRM monthly reports, keeping the database updated and prepping for large meetings and presentations, capturing notes in meetings, and other related tasks. The role also involves providing direct programme support to three (3) of our post-primary (secondary school) education programmes. This

    Primary Responsibilities

  • Overseeing the effective administration of the World of Work, Student Mentoring and Towards Your Future national educational programmes, including providing administrative support to these National Programme Leads.
  • Oversee the annual programme evaluation process for the above programmes : Set up, manage and download feedback surveys and responses (using Survey Monkey or similar software)Draft and produce final local and national evaluation reports in conjunction with National Progamme Leads / Administrative Coordinator (using Canva or similar).
  • Providing administrative support to the Regional Coordinators.
  • Providing administrative support to Head of Education, as appropriate.
  • Provide support for the Garda Vetting processes.
  • Responsible for maintaining information current and updating marketing and business development material, including the BITCI website, Ezines and bulletins and social media posts, which may include designed, written and audio / video materials.
  • Event organisation, including : Distributing invitations, managing RSVPs and maintaining an attendees listVenue booking, catering, briefing notes, reminders and support on event day
  • Research in support of business development and programme material, including preparation and updating of presentations, programme overviews and programme training / resource material.
  • Providing support in maintaining CRM in terms of active accounts, risk management and onboarding / exiting and generating reports on operational activity.
  • Leading on the development, coordination, hosting, delivery and evaluation of an educator-focussed programme called Industry Insights for Teachers comprising a series of 16-18 webinars / seminars during the academic year.
  • Maintain efficient filing systems and file sharing and saving protocols and promote best practice.
  • Scheduling, preparation, taking minutes and following up on actions at team meetings.
  • Preparation, collation and distribution of quarterly Ezine using Mail Chimp and Education inputs to other organisational communications.
  • General BITC office duties : responsibility for general administration cover, as appropriate.

  • PERSON SPECIFICATION

    Knowledge and Experience

    Two (2)  or more years’ experience in a similar role and knowledge of the Irish educational system.

    Core Skills

  • A high level of proficiency in the range of Microsoft Office programmes e.g. Word, Excel, PowerPoint, Outlook
  • Strong organisational and time management skills
  • Fluency in English, both written and verbal, is required
  • Adaptability, flexibility and the ability to manage a varied workload
  • Be a good communicator and have a willingness to support the team and an ability to deliver under pressure and meet deadlines.
  • Advantageous skills

  • Proficient knowledge in IT and database applications such as Microsoft Dynamics CRM (or similar)
  • Knowledge of SharePoint
  • Good verbal and written communication skills (good writing skills and a good telephone manner)
  • Digital design e.g. Canva
  • Experience managing digital / social media channels
  • Experience with designing, managing and distributing surveys / evaluations
