We endeavour to recognise each individual familys needs and to identify the support needed before, during and after assessments. We specialise in implementing diagnostic assessments in the area of autism spectrum disorder and / or developmental delay. We are currently expanding our team and have an opening for a Medical Secretary & SeniorOffice Administrator to join our office team. Position : Medical Secretary & Senior Office Administrator Full & Part Time role available : Monday-Friday 8.00am-3.00pm Office Hours : Mon-Fri 8am-3pm Training and supervision provided where needed : Key Responsibilities : General Administration Filing, typing, photocopying, scanning, answering calls and emails. Front of house : Meeting and greeting families and supporting daily duties within the practice. Enrolment Management Processing new enrolments and maintaining staff & childrens records Compliance & Regulations Ensuring all documentation (e.g., policies & procedures) meets deadlines and government regulations. Communication - Phone and email communication with families. Communication with our team of professionals which includes Psychologists, (BCBA) Behaviour Support , (SLT)Speech and Language Therapists, (OT) Occupational Therapists and Care team. Placement & Admissions Managing waiting lists, Appointments and future availabilities for assessments. Financial Administration Liaising with accounts for invoicing families. Confidentiality & Data Protection Ensuring compliance with GDPR regulations Inventory Management Monitoring supplies and placing orders as needed Software Management Keeping records updated on Practice systems Requirements : Recognised Medical Secretarial / Administration Qualification or relevant experience in a similar role Minimum 3 years of experience in office administration (required) Strong IT Skills Proficiency in Microsoft Office (Excel, Word, OneDrive) Understanding of GDPR & confidentiality protocols Excellent written & spoken English (required) Strong organisational & communication skills Effective time management & attention to detail Ability to work well within a team Two written references Garda Vetting (International vetting required for candidates who have lived outside Ireland for 3+ month) Job Details : Salary : Based on experience Hours : 40 hours per week (Flexible) Location : St. Margarets, Co.
